The Suite Life with IST's Technologies

IST Management made an immediate impression on me when I started a few years ago regarding the sheer amount of technologies available to me as Regional Operations Manager in Boston. Trying to select even a few to highlight is difficult, as we use all of our software modules that are part of our IST Suite package, some more frequently than others, but all of them contribute equally to making work life a lot easier.

 

One of the first things that stood out initially is that these modules are all products written by IST's IT Development Team, which means we can make changes to them. I have witnessed instances where we have modified different modules to address changes in the workplace. A great benefit of utilizing our package of software modules is that once our staff is trained on them in one location, they can take that knowledge with them to another. They will be ready if asked to fill in at another site or earn promotion into a leadership position. Imagine having a new Site Manager start at your location, and upon walking in the door, they already know everything there is to know about the backbone of our operation – that's IST Suite.

HR & Management

Beginning with our HR and Management functions, we can track our staff's activity throughout the region, not just the site. This includes managing where they are assigned, their time punches, and, most importantly, ensuring they are paid accurately and timely. This module also houses all of our training materials where there is plenty of information to absorb. Our staff has their progress tracked through a section called Training Master, where we can incentivize our team to move through their training at a good pace. The training is done through many different SOPs, which are available to us in one place and are organized by company-wide and Site-Specific SOPs. These are the lifeblood of running our operations, and we are continually reviewing and updating them for accuracy.

 

These SOPs and many other items are also available in our Client Support Center, our client's one-stop shop for all the information about their location. We house site staff information here and Management Reports, Contract Documents, and Invoices. IST has eliminated the need for requesting copies of this type of information as it is all readily available with the click of a mouse. We can assign logins for as many client staff as needed so that different departments of a client's organization can access what may pertain to them.

 

Our software package is the same across all locations, making it very easy for our team of On-Call STARs to come in and provide backup support in case of regular staff absences. Utilizing our Mail Service Functions is one area where these team members can make an immediate impact. Our Voice Recognition function for Mail Sort makes it possible for anyone to walk in the door and be productive right away. Speaking the recipients' names into the headset, our staff can sort mail immediately. Package Track is another tool that is easy for anyone to use. Our team scans the barcodes, enters the recipient's name, then scans an internal bar code for tracking to be created. By using our portable handheld devices, these packages are then delivered internally. The information, including all signatures, is then downloaded back into our software to close the loop on delivery.

Monitoring & Maintaining

IST Copy Track is the intelligent module we use to capture all the print/copy/binding work done for our clients in our different service centers. As jobs come in, their details are entered into Copy Track, including billing details, allowing our clients to charge back work to their clients, if applicable. Each job is transferred into our Work Order Dashboard so that our entire team can see how careers are progressing through their workflow and make sure we don't miss any deadlines. Jobs visually turn into a yellow status as they near their deadline and change to red once they are within an hour of their deadline. This also triggers a message sent to the responsible Operations Manager, wherever they may be, so they are made aware of a pending deadline at one of their locations. This allows us to check in with our site and ensure that there are no issues with completing the job. If there may be an issue, we either allocate more resources to that location or proactively communicate with the client, so they know there may be a slight delay in getting their job delivered. 


We can monitor and maintain all the equipment at a client location by integrating IST Service Track. Using this module, we can validate the information given to our clients by their equipment vendors regarding response time to service requests, total up-time, etc. This applies to the traditional equipment one may think of, such as printers and MFDs. Still, it can also track other equipment such as coffee makers, microwaves, and refrigerators; the opportunities are endless!


Regardless of what modules are in use at a client location, one of IST's best features is Management Reporting. Once we process our month-end closeout, we can go into our system and run the Monthly Management Report for that specific location, which summarizes all volumes and activities for the month in one report. These reports are beneficial to review with your Operations Manager, so you can notice trends in your business and verify the performance of our team and other vendors the client may use.
